Desk Ergonomics: A Practical Workstation Setup Guide

Adjust your chair, keyboard, mouse, monitor, and laptop setup to reduce awkward posture, improve comfort, and make movement breaks easier.

A comfortable computer setup is less about finding one perfect posture and more about reducing repeated strain. A chair that is too high, a laptop screen far below eye level, or a mouse placed beyond easy reach can keep the body in awkward positions for hours. Small adjustments often make a workstation noticeably easier to use without requiring expensive furniture.

OSHA notes that there is no single correct arrangement for everyone. Body size, tasks, equipment, and physical needs differ. Use this guide as a practical starting point, then adjust based on comfort and any guidance from a qualified healthcare or ergonomics professional.

Start with the chair, not the monitor

Sit all the way back so the chair supports your lower back. Adjust the seat height until your feet rest flat on the floor and your thighs are roughly parallel to it. If the desk requires a higher chair position and your feet no longer reach, use a stable footrest rather than letting them dangle.

Your shoulders should feel relaxed, not lifted toward your ears. Set armrests so your elbows stay close to your sides and your forearms receive light support. If armrests force your shoulders upward or prevent you from moving close to the desk, lower or remove them if the chair allows.

Leave a little space between the front edge of the seat and the backs of your knees. Avoid a hard edge pressing into your legs. Change position periodically; even a well-adjusted chair does not make hours of uninterrupted sitting ideal.

Bring the keyboard and mouse close

Place the keyboard directly in front of you at a height that lets your elbows remain near your body, generally between 90 and 120 degrees. Keep wrists in a neutral, mostly straight position instead of bending them sharply upward, downward, or sideways.

The mouse should sit beside the keyboard on the same surface and within easy reach. Move it from the shoulder when possible rather than repeatedly reaching or twisting the wrist. Increase pointer speed if it reduces unnecessary movement while remaining controllable.

A wrist rest is for light support during pauses, not for planting the wrists on a hard edge while typing. During keyboard use, let the hands move freely and avoid excessive force. Shortcut keys can reduce repeated mouse actions.

Position the monitor for a neutral head and neck

Place the primary screen directly in front of you, generally about an arm’s length away. OSHA guidance emphasizes a height that lets you look ahead without tilting the head forward or backward. A common starting point is to place the top of the visible screen at or slightly below eye level, then adjust for your glasses, screen size, and viewing comfort.

If you use two monitors equally, center them together and sit facing the gap. If one is primary, place it directly ahead and the secondary display beside it. Frequently turning toward a screen positioned far to one side can strain the neck.

Increase text size instead of leaning toward the display. Position screens perpendicular to bright windows when possible, adjust blinds, and angle the monitor to control glare. The screen should be bright enough to read comfortably without looking like a lamp compared with the room.

A laptop needs a tradeoff

A laptop’s attached screen and keyboard make ideal positioning difficult: raising the display also raises the keyboard. For longer sessions, use a laptop stand or stable riser with an external keyboard and mouse. This lets the screen reach a comfortable viewing height while input devices stay near elbow level.

If a laptop is your only option, work at a table instead of a couch or bed when possible, keep it close enough to avoid leaning, and take more frequent breaks. NIOSH specifically recommends more screen breaks when using a laptop display. Never place a laptop on an unstable stack where it can slide or block ventilation.

Arrange the desk around frequency of use

Keep the keyboard, mouse, phone, and other frequent tools within the area you can reach without stretching. Less-used items can sit farther away. A document holder beside the monitor can reduce repeated head movement when typing from paper.

Maintain enough clearance under the desk for your knees, legs, and feet. Remove boxes or equipment that force you to sit sideways. The work surface should let you move close enough that your upper arms remain near your torso.

A sit-stand desk can provide another position, but standing continuously is not the goal. Set the standing height so the keyboard and mouse still support neutral wrists and relaxed shoulders. Alternate positions before discomfort begins rather than waiting until you are sore.

Take short movement breaks

Ergonomic equipment cannot replace movement. NIOSH reports that short breaks every hour can reduce discomfort for computer workers. Stand, walk, stretch gently, or change tasks for a few minutes. Brief, frequent movement is usually easier to sustain than one long break after several motionless hours.

Give the eyes a change as well by regularly looking away from the screen toward something farther away. Blink normally, address glare, and use text scaling before assuming eye strain requires a new monitor. If you have persistent pain, weakness, numbness, tingling, or vision problems, seek professional advice rather than trying to solve symptoms only with desk accessories.

A five-minute workstation check

  1. Feet: Are they flat on the floor or supported by a stable footrest?
  2. Back: Does the chair support you without pushing your head forward?
  3. Shoulders: Are they relaxed while your elbows stay near your body?
  4. Wrists: Can you type and use the mouse without sharp bends?
  5. Screen: Can you read it without leaning or tilting your head?
  6. Reach: Are frequently used tools close enough to avoid stretching?
  7. Movement: Is there a realistic cue for a short break each hour?

Change one variable at a time and use the setup for a day before judging it. A photo taken from the side can reveal forward head position, raised shoulders, unsupported feet, or a distant keyboard that may be hard to notice while working.

Make the routine easier to maintain

Save your chair, monitor, and desk settings if equipment is shared. Start the day with a 30-second reset: move the keyboard and mouse close, center the primary screen, clear leg space, and check chair height.
